IRS Data Retrieval Deadline Extension to June 21, 2013

We have recently been notified that the IRS Data Retrieval system was unavailable from Thursday, June 13 from 12:00 midnight to Saturday, June 15 at 5:00 a.m. ET. Consequently, the deadline to complete this process is being extended to Friday, June 21, 2013.

Please log into Growl and click on the link for "Application Status" to review any other documents that may be required to complete your financial aid application. The deadline to submit all other incomplete documents remains Friday, June 14, 2013.

FAFSA IRS Data Retrieval Tool/Tax Return Transcript Process

IRS Data Retrieval/Tax Return Transcript Directions

 

The IRS Data Retrieval Tool, or a Tax Return Transcript, should be available 3-4 weeks AFTER your taxes have been e-filed or 8-10 weeks AFTER they have been paper filed.

 

UCR financial aid undergraduate students whose parents are tax filers will need to follow a federal procedure to link IRS 2012 tax data to the 2013-14 FAFSA.  This request is shown as “Parent IRS data retrieval” (see Growl, Financial Aid Application Status). The deadline for this has been extended to June 21, 2013.

 

For the IRS data retrieval, your parents must authorize the transfer of their 2012 federal income tax information from their IRS tax return to your FAFSA.  Here’s how:

 

To utilize the IRS Data Retrieval Tool (DRT) please follow the steps below:

1.      Go to www.fafsa.ed.gov.

2.     Select “Login”.

3.     Enter the student’s information and select “next

4.     Change parent item #32 from “will file” to “already completed”, if applicable.

5.     If you then answer “None of the above” and are eligible to use the IRS Data Retrieval Process, click on the “Link to IRS” and click “OK”.

6.     On the IRS Web site, enter the requested information exactly as it appears on parents’ 2012 tax return (name, street address, etc.), and click submit.

7.     Click the box under the “Transfer My Tax Information into the FAFSA” and then click “Transfer Now”.

8.     You should then receive a message “You have successfully transferred your 2012 tax information”.

Be sure to finish going through all the steps and electronically sign (one of your parents also needs to electronically sign) and “submit” your FAFSA.  You are not finished until you have successfully submitted your FAFSA and received a confirmation number.

A few days after this process is completed, an updated copy of your FAFSA with the IRS data will be sent to UCR automatically, and Growl Application Status will be updated to show that the UCR document request is “completed”. This process must be completed by June 21st and will be used to generate your official 2013-14 financial aid award. For incoming students, official awards are generated within about 1 week of completing this match, and for continuing UCR students awards will begin around July.

There are a few situations in which applicants are unable to use the IRS Data Retrieval Process:

 

• Married and filing separately – (submit tax transcript for each spouse)

• Tax filing status is Head of Household (submit tax transcript)

• Filed an amended tax return – (submit tax transcript and account transcript)

• Filed a Puerto Rican or foreign tax return (submit a copy of original tax return filed)

• Do not have a US Social Security Number

If you cannot successfully use the IRS DRT, Tax Return Transcripts must be provided.  1040 tax returns will no longer be accepted. You may obtain Tax Return Transcripts by using one of the following methods:

1.)   Request online at the IRS web site at www.irs.gov

2.)   Request by calling the IRS at 1-800-908-9946

 

 

UCR Biweekly Work-Study Timesheet Due Dates

All non-exempt UC employees have converted to biweekly payroll cycles. This includes all federal work-study student employees.

There is also a new process for how timesheets are approved and submitted to the financial aid office. Effective with the December 16, 2012-January 19, 2013 pay period, student workers now submit electronic timesheets through UC's Time & Attendance Reporting System (TARS). Once the student completes their online electronic timesheet, they will print and submit it to their supervisor for final approval.

Supervisors are now required to submit approved student employee timesheets via email to workstudy@ucr.edu. We will no longer accept paper timesheets at the Highlander One-Stop Shop. Due to the very short timeframe financial aid staff has to process the approved timecards after they are submitted, it is important that approved timecards are received by the due dates in order to ensure that student employees are paid on time.

Spring financial aid disbursements

Spring financial aid refunds for student account credit balances will be disbursed beginning on March 27, 2013 for students who are enrolled and who do not have any financial aid holds.  Students on the direct deposit program will receive refunds sooner than students receiving paper refund checks.
 
Financial aid refunds will be issued to students who have a credit balance after their financial aid disbursements have been applied to their spring tuition and any other outstanding institutional charges. Students who are on the direct deposit program will begin receiving credits to their bank accounts as of March 27, 2013.  Paper refund checks will be mailed to students' billing addresses beginning on the 27th.  For students who are living in the residence halls, refund checks will be delivered to your residence hall mail box beginning on April 1st, since the residence halls are closed across spring break.
 
Save yourself time and delays in receiving your financial aid refund and avoid the inconvenience of having to stand in line at the bank to cash your check.  You can have your financial aid refund automatically credited to your personal bank or credit union account.  Direct deposit is free, fast, and convenient.  For more information visit the Student Business Services website and click the “Student Services” link. 2013-14 Financial Aid Deadlines!

DON'T MISS THESE IMPORTANT FINANCIAL AID DEADLINES:

MARCH 2, 2013 – On-time priority filing deadline to submit your FAFSA online at www.fafsa.ed.gov for the 2013-14 Academic Year (including this summer).

MARCH 2, 2013 – Deadline to complete a GPA Verification Form for new Cal Grant applicants, especially those enrolled at UCR for the first time in 2012-13.

MARCH 2, 2013 – Deadline to complete the UCR Continuing Student Scholarship Application.

MAY 1, 2013 – Deadline to complete an online Request for Summer Aid (available on Growl about April 1st) to be considered for summer financial aid.

• JUNE 14, 2013 – Deadline to submit any financial aid documents requested on Growl.

THE BENEFITS OF APPLYING ON TIME:
It's time to re-apply for financial aid for 2013-14 (which includes Summer Session 2013). By March 2, 2013, complete a pre-filled 2013-14 Renewal FAFSA, using your federal PIN number(s).

Don't be late! You can lose eligibility for University of California's Blue and Gold Opportunity Plan, grant, scholarships, and Work-Study funding if you miss the March 2nd FAFSA priority filing deadline! You must also file the 2013-14 FAFSA and the online Request for Summer Aid if you plan on applying for financial aid for Summer Session 2013.

New students enrolled at UCR for the first time in 2012-13 must have the GPA Verification Form completed by your previous high school or college by March 2, 2013. Current Cal Grant recipients do not need to submit this form.

Check your 2013-14 Financial Aid Application Status online on Growl beginning in March, and look for any additional documents that may be required to complete your financial aid application by June 14, 2013.

Next Steps for New Stafford Loan Borrowers

First time Stafford loan borrowers must submit an electronic Master Promissory Note online and complete loan entrance counseling before Stafford loan funds can be disbursed. (more)

Next Steps for Parent PLUS Loan Borrowers

Your financial aid award may include a Federal Direct Parent PLUS Loan. The PLUS Loan is a loan which is made to your parent. If your parent decides to take out this loan, the parent borrower needs to submit a PLUS Request, and if your parent is a new (first-time) borrower, complete an electronic Master Promissory Note online. Financial Aid on Hold Information

If you see that some or all of your financial aid on Growl Current Activity is “Aid on Hold”, you can click on the Growl “Holds” item on the menu bar for a description of the hold and how to resolve the hold (e.g., loan documents to be completed). Note: Aid on hold does not hold registration in courses. Once you have resolved the hold, allow at least a few business days to see the updated aid status on Growl.  Your aid will then appear as “Estimated Aid” until it is ready to “credit” your account. 
 
After the quarter begins you may view any financial aid refunds or direct deposits that are issued to you for any credit balance on your student account after your charges have been paid. Please note that one financial aid award on hold will not necessarily prevent disbursement of other awards – for example, a loan on hold for completion of loan documents will not prevent the disbursement of a grant.
 
It’s always a good idea to check Growl Current Activity for the latest information on your quarterly charges and aid credits, to check your latest account balance and to ensure that your aid is not on hold.

Next Steps for Perkins Loan Borrowers

All Perkins Loan borrowers must submit an electronic Master Promissory Note online and complete loan entrance counseling before Perkins Loan funds can be disbursed. Please allow two business days from the date that you accept your Perkins Loan award for your loan to be activated at the ACS website before completing your promissory note and entrance counseling.(more)
